General

We are an innovative party within the dental industry. We provide an online and independent knowledge platform where dental colleagues can share knowledge and experiences with each other, for example on new techniques and materials, on the basis of a membership. You can purchase products and services via the webshop on our website. We also provide training courses, postgraduate courses, conferences, webinars, symposia and lectures. 

It goes without saying that we attach great importance to safeguarding everyone’s privacy and the protection of personal data. Processing of personal data is carried out with the utmost care, expressly observing the applicable privacy legislation.  

Security measures

We take the protection of your (personal) data seriously and have taken appropriate technical and organisational measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised changes. Processing of personal data: what personal data do we process? 

By using our services you leave behind (personal) data:

  • via the contact pages at https://www.karma-dentistry.com you can enter your first name and surnamee-mail address and telephone number (as well as any additional personal data in the open field); 
  • when you log on to https://www.karma-dentistry.com you can leave the following (personal) data: first name and surnamegenderaddresspostal codetowncountrye-mail address and telephone number
  • after obtaining a positive education or training result, we will also ask you for your BIG registration number for the purpose of registration of this result in the Quality Register of Dentists. This is important if you want to include your continuing education in this register; 
  • when you use our web shop, you pay for our products and services via a payment service provider. As a result of this payment, your payment details (bank account number and/or credit card number), including the name in which the account is registered, will be visible to us.

Purposes of processing: why do we process your personal data? 

We only process personal data if there is a legal basis for doing so. This means that we rely on the following legal bases: 

  • necessary for the performance of a contract. This involves the processing of personal data for the correct and timely performance of the contract we conclude with you. We also need the personal data to maintain contact with you within the framework of our services. As part of the contract, we process personal data in our software system and correspond with third parties (e.g. suppliers) as necessary;
  • necessary to comply with a legal obligation. This includes, for example, fiscal retention periods for certain data for the tax authorities, such as invoices in connection with products and/or services you purchased via one of our websites. Under the BIG Act, we also process your BIG number in order to pass on your positive (training) results to the Quality Register of Dentists;
  • legitimate interests. This may include protecting our (intellectual) property rights (infringement of a proprietary right), fulfilling our duty of care to customers and employees, commercial purposes and processing for network and information security purposes; 
  • with the consent of the data subject(s); This may include sending mailings, newsletters and placing photos on the website or on social media channels on which data subjects are identifiable. If you leave your contact details via our contact page, you give us permission to contact you. If you respond to a vacancy for a position at Karma Dentistry and enclose your curriculum vitae, we will process these data for the purpose of implementing the selection procedure. Your data will be deleted in good time after completion of the selection procedure. 

Do we disclose your data to third parties? 

We handle your personal data with care and do not provide personal data to third parties, unless we are obliged to do so by law, or if the provision of personal data is necessary in order to provide the service you have requested or to inform you. In order to send materials of hands-on courses, your name and address details are shared with distributors and/or manufacturers and/or transporters.

As part of the provision of services, we use several digital systems in which personal data of data subjects are processed, including systems for:

  • e-mail traffic; 
  • developing and managing the e-learning facilities within the community at https://www.karma-dentistry.com
  • the payment page on our websites;
  • executing payment transactions;
  • sending out newsletters;
  • our accounting records.

A current list of suppliers of these systems can be found as an annex to this privacy and cookie statement. We are not responsible or liable for how third parties handle your (personal) data. Where this is necessary in the light of privacy legislation, we have concluded a processing agreement with these parties. 

Are your personal data transferred to countries outside the EEA? 

From Karma Dentistry

In some circumstances, we may share your (personal) data with parties located outside the European Economic Area (EEA). This will only happen if, under the contract we conclude with you, we consider it necessary to share your personal data with parties outside the EEA, for example distributors, manufacturers or transporters, or when offering international hands-on courses. When personal data are shared with parties outside the EEA, you will be informed accordingly. In those situations, we will in any case ensure that the transfer outside the EEA takes place in such a way as to meet the requirements of the General Data Protection Regulation.

Retention period: how long do we retain your personal data? 

We do not retain your (personal) data any longer than necessary for the purposes for which they are processed, unless this is necessary in order to comply with legal obligations. For example, most administrative (personal) data and documents are subject to a retention period of at least 7 years based on tax legislation.

Social media

You can access social media, such as Facebook, LinkedIn and Instagram, via our website. These parties may place cookies on your computer if you are referred from our website. Newsletters and events

We may send newsletters and invitations to courses, conferences, symposia, webinars or other activities. These are sent to people who have subscribed for the newsletter and existing relations and customers of Karma Dentistry. Of course, you have the right to unsubscribe at any time.
